Documentation Specialist

Type: Contract-to-Hire

Location: Mesa, AZ 85201

We’re hiring Documentation Specialists to support a growing remote operations team focused on real-time coordination with field technicians and preparing critical documentation for legal processes. This role is phone-intensive, detail-driven, and ideal for professionals who are precise, organized, and thrive in a structured environment.

What You’ll Do:

• Conduct 10–15 daily validation calls with field technicians (approx. 30 minutes each).
• Review LiDAR-based speed data, confirm accuracy, and package findings into formal documentation used in legal affidavits.
• Ensure absolute accuracy in all records — these documents are used in court to support traffic enforcement cases.
• Complete pre-populated forms, work within internal portals, and maintain organized databases.
• Coordinate with leadership and technicians to support daily remote site operations.
• Retrieve records such as logs or certifications as needed for legal or public records requests.
• Offer input on process improvements and help identify workflow efficiencies.

• Comfortable being on the phone for much of your day — strong verbal communication is a must.
• Able to manage repetitive, time-sensitive tasks with consistency and focus.
• A self-starter who can work independently and prioritize tasks with minimal oversight.
• Open to on-the-job training and quick to learn new tools and processes.

Tools You’ll Use:

• Microsoft Teams
• Microsoft Office (Excel, Word, Outlook)
• Internal web portals and forms
• Remote access tools for roadside cameras and validation systems

Nice-to-Haves (Not Required):

• Familiarity with scripting or automation tools (Python, PowerShell, Visual Basic)
• Exposure to Lean Six Sigma, Agile/Scrum, or PMP methodologies
• Background in law, real estate, compliance, or any high-accuracy field

Qualifications:

• Bachelor’s degree or 3+ years of experience in a process-driven, detail-focused, or operational role
• (e.g., legal support, technical coordination, administrative operations, compliance)
• Proven ability to work in regulated or documentation-heavy environments
