Overview:
Friendly Franchisees Corporation is seeking a highly organized and proactive Personal Assistant to support the CEO. This role requires a professional who can manage a wide range of administrative and personal tasks, ensuring the CEO's day-to-day operations run smoothly. The ideal candidate will be flexible, detail-oriented, and capable of handling confidential information with discretion. This role also includes household management tasks.

Key Responsibilities:

  • Administrative Support:
  • Manage and maintain the CEO's calendar, including scheduling meetings, appointments, and travel arrangements.
  • Screen and prioritize emails, phone calls, and other communications for the CEO.
  • Prepare and edit correspondence, reports, presentations, and other documents as needed.
  • Organize and maintain files and records, ensuring information is easily accessible.
  • Coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
  • Handle confidential information with a high level of discretion and professionalism.
  • Booking appointments and arranging travel.
  • Organizing and coordinating small- and large-scale events.
  • Regularly follow up on checklists and ensure completion of daily repetitive tasks.

  • Household and Personal Tasks:
  • Assist with personal errands and tasks as requested by the CEO.
  • Manage the CEO's household needs, including coordinating with household staff and vendors.
  • Organize areas around the house and handle cleaning assignments such as cleaning restrooms, dishes, laundry, sweeping, mopping, etc.
  • Run errands for the family and ensure timely completion.
  • Perform postal and shopping activities.

  • Proficiency and Skills:
  • Proficiency with Microsoft Word, Excel, PowerPoint, and other office software.
  • Strong computer skills and ability to quickly learn new technologies.
  • Demonstrated phone etiquette skills, including answering and managing calls professionally.
  • Detail-oriented with the ability to take initiative and solve problems independently.
  • Ability to work independently and manage multiple tasks with minimal supervision.
  • Adaptable and quick to learn new tasks and responsibilities.
  • Maintain the cleanliness and organization of the office environment.

  • Additional Responsibilities:
  • Open availability to work and adjust to varying daily work hours.
  • Complete any other projects or tasks as assigned by the CEO.

Qualifications:

  • Proven experience as a Personal Assistant, Executive Assistant, or in a similar role.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • High level of discretion and confidentiality.
  • Valid driver's license and reliable transportation.
  • Willingness to perform household tasks, including dishwashing, when needed.

Work Schedule:

  • Full-time position with flexible hours, including availability to work as needed.
  • Available to start as soon as possible.

Location: Newport Coast Drive, CA

Compensation and Benefits:

  • Salary: Rate per hour: $25
